The Ultimate College Event Checklist: Are You Asking Your Entertainer the Right Questions?

 

Why the success of your next campus event depends on the answers you get before the contract is signed.

 

If you are on a Student Activities Board or a Program Director, I know the pressure you’re under. You have a budget to manage, a committee to please, and the sleepless nights wondering, "Will students actually show up? And if they do, will they stay?"

Choosing an entertainer is one of the biggest decisions you’ll make. But too often, the conversation stops at price and availability. If you want to move from hosting a "decent" event to a legendary one, you need to dig deeper. You need a partner, not just a vendor.

Here are five questions you should be asking your potential entertainer. (And yes, these are the questions I love to answer).

1. "How do you handle the diverse music tastes on our campus?"

A college campus is a melting pot. You have students from different states, countries, and backgrounds, all in one room. A DJ who sticks to one genre or a "Top 40 only" script is going to alienate half your crowd.

The Authority Answer: Your entertainer should be an "Architect of Belonging." As I mentioned in my first post of this series, “Beyond The Beat” the goal isn't just to play music; it's to create a space where everyone feels seen. I don't just guess; I research. I look for the musical threads that tie different groups together. If your DJ can't explain how they bridge the gap between Hip-Hop, EDM, Latin, and Pop without killing the vibe, keep looking.

2. "What is your plan for pre-event promotion?"

Most entertainers think their job starts when they plug in their headphones. I believe my job starts weeks before the event. Attendance is the biggest stressor for planners—so why shouldn't your talent help you fill the room?

The Authority Answer: Ask for specifics. Do they provide custom graphics you can use on your socials? Will they make a "hype video" dropping a shout-out to your university? I view every booking as a partnership. If I’m coming to your school, I’m bringing my energy to your marketing team before I ever step foot on campus.

 

3. "Can you describe your setup and technical needs?"

There is nothing worse than an entertainer showing up with a tangled mess of wires, blown-out speakers, or a setup that looks like it belongs in a basement, not a ballroom. Presentation matters.

The Authority Answer: Professionalism is visible. I take pride in a setup that is clean, safe, and visually impressive. When you hire a pro, you shouldn't have to worry if the sound will cut out or if a tripod is going to fall over. We discuss power needs and floor plans in advance so that on the day of the show, your only job is to relax.

4. "How do you engage students who aren't dancing?"

Here is a reality check: Not everyone dances. But that doesn't mean they shouldn't have a great time. If a student is standing against the wall feeling awkward, they are going to leave early.

The Authority Answer: This goes back to reading the room. Sometimes engagement means hopping on the mic for an interactive game. Sometimes it means creating a "soundtrack" that is conducive to socializing, not just raging. A great DJ creates an atmosphere where even the wallflowers feel like they are part of the party.

 

5. "What makes an event memorable vs. just fun?"

"Fun" is a great night out. "Memorable" is a Core Memory. It’s the difference between "The DJ was good" and "Remember that night senior year?"

The Authority Answer: The difference lies in emotional connection. It’s about building peaks and valleys in the energy, creating moments of shared euphoria, and ending on a high note that leaves the crowd wanting more. It’s about leaving the students with a story to tell.

You deserve an entertainer who cares as much about the success of the event as you do. Next time you are vetting talent for your campus, pull out this checklist.
